Summary of Retirement and Emeritus Benefits
As ofDecember 4, 2013
The following materials summarize the benefits and privileges accorded to persons granted Emeritus appointments at theUniversityofCalgary.
There are three University documents that describe these benefits and the relevant sections of each are attached:
- Attachment 1 – “Retirement Information for Academic Staff”, prepared by the Human Resources Department, as revised December 2020.
- Attachment 2 – GPC Manual -Manual of Policies and Procedures for the Annual Assessment of Academic Staff (Salary Increments And Promotions), October 2005
- Attachment 3 – The retiree parking information sheet available from Parking & Transportation Services.
Membership in the ɫ Emeritus Association is open to all Emeritus appointments at the ɫ and other institutions who have similar honorific appointments for retirees. There is an annual membership fee and specific benefits of membership include:
- Regular, no-charge, program events (September through May each year)
- Two annual luncheons (December and June) – fee for both members and guests
- One printed copy and two electronic copies ofLife After Retirement(LAR).- the publication of the ɫ Emeritus Association
- Monthly E-Letters with program and event information.
- Annual field trip to a location of general interest (additional fees may apply)
- Advocacy on behalf of Association members on issues of importance.
There are also other benefits available to all retirees with a Retired Employee Card:

4. Retired Employee Card
Retired staff members, who wish to maintain contact with the ɫ and make use of the benefits and privileges available to them as retired members of staff, can obtain a Retired Employee cardapproximately 2 weeks after date of Retirement. The I.D. Office is located in the Campus Security Office in the Dining Centre, Room 18 - Telephone (403) 220-7290.
Presentation of the Retired Employee Card may be required to access the following benefits, which are subject to change without notice.
(a) Parking
Effective July 1, 2013 parking passes are available to academic retirees who:
- retire and have 25 years of continuous service with the ɫ, or
- have been granted Emeritus status
A parking pass can be obtained by visiting Parking & Transportation Services approximately 1 to 2 weeks after date of retirement. Parking & Transportation Services is located at:
Olympic Volunteer Centre(North end of McMahon Stadium).

Photo Identification will be required.
The retiree parking pass is only valid for use by the person to whom the pass is issued, and only in vehicles that have been registered with Parking & Transportation Services. Spouse and family members cannot use the permit unless the retiree is in the vehicle. Retiree parking passes will be valid in:
- Lots 10, 11 and 32 from Monday to Friday until 3:30 p.m.
- All other lots, excluding hourly, after 3:30 p.m.
- The Art Parkade anytime, with use of valid access card
The retiree parking pass is a taxable benefit and the recipient must:
- Self-declare the value of usage on their personal income tax. A form will be provided annually for the permit holder
Or
- Instruct Parking and Transportation at the time of permit issuance that a T4A slip is needed. This slip would reflect the annual parking pass’ full current market value.
The parking pass for eligible retirees will be issued on an annual basis upon request. The 2013 pass will run from July 1 to December 31, 2013. Subsequent passes will be valid from January 1 to December 31 each year.
(b)Library
The Retired Employee Card, when validated, also serves as a Library Card.
(c)Active Living Facility and Athletic Events
Facility Access– Retired employees and their spouses will receive complimentary memberships to use the Active Living Recreation Facilities in the Kinesiology Complex.

Note: locker and towel fees are not included.
- Active Living Programs – Retired employees and their spouses are eligible to participate in Active Living Programs at the member rates. Go to https://, contact Client Services by phone at (403) 220-7749 or visit in person (KNA104) for information regarding specific programs and fees. Your Retired Employee card will be required when registering in these programs.
- Athletic Events (Dino’s Athletics) – Just show your Retired Employee Card at the entrance and gain free admission for you and your spouse to all Dinos regular season conference games. You can find the schedules at.
Note: Playoff games and tournaments are not included.
(d)Bookstore
Upon presentation of a Retired Employee Card, retired employees will be given a 25% discount on regularly priced merchandise in general reading, wearing apparel, stationery and sundry areas of the Bookstore. Exempt from the discount are course materials or textbooks, all sale merchandise, calculators, and film.
(e)Theatre Passes
Retired academic staff members and their spouses are entitled to free admission to a variety of theatre productions and presentations sponsored by groups at the University (e.g. public performances by the Music and Drama Departments, the Faculty of Kinesiology, and film presentations sponsored by the Student’s Union or University Theatre Services).
Free admission will not be available for events that are sponsored by “off-campus” organizations and departments not identified above.

(f)Information Technologies
The following computing privileges are offered to retired staff members. If changes are made to computing policies (such as a fee-for-service), these policy changes will affect privileges offered to retirees.
Generally, retired staff may keep an existing computer account. However, in some cases a retiree may be required to obtain a new account that requires a change to an existing e-mail address. An existing or new account will give access to services, such as:
- Webmail
- Webdisk file storage
- Campus Wireless Network access
- Free Software Downloads (e.g. Anti-virus)
- Linux Program Library
- Computer Purchasing
- University Library
Getting Help
There are a number of ways to get help with computing activities. If in doubt, call the IT Support Centre at (403) 220-5555. Once an account is set up, help can be found on-line at, the UCIT home page, IT non-credit computing courses and from IT consultants.

11.0 EMERITUS STATUS[1]
On 1976-05-13 the Board of Governors approved a general procedure for the award of the titles "Professor Emeritus" and "Associate Professor Emeritus" to members of the academic staff retiring from regular full-time service, and noted that “recommendations shall come from Deans or Directors to the General Promotions Committee, which shall in turn give advice to the President on his recommendations to the Board".
Consistent with the above, emeritus status using appropriate titles has also been granted to members of the non-teaching academic staff retiring from regular full-time service.
11.1 Eligibility for consideration for emeritus status shall be based on
a) retirement from the academic staff of The ɫ following a minimum of ten years' service while holding a "Continuing", "Contingent Term" or "Limited Term" (full or part-time) Board of Governors' appointment.
b) completion of a distinguished career.
11.2 In conferring emeritus status on retirement, the University will be
a) giving formal and public recognition to the important contribution these individuals have made to the University,
b) maintaining an active linkage with an important and growing segment of the University community,
c) providing moral and other support to the continuing scholarly work of these individuals, and
d) benefiting from the continued identification of these individuals with the University.
11.3 It follows from Section 11.1(b) that the granting of emeritus status is strongly related to the cumulative record of annual assessments and performance evaluations conducted by the Heads and Deans (or equivalent administrative officers), which are reviewed by FPC's and the GPC. Thus, an individual who has consistently demonstrated meritorious performance would normally be recommended for emeritus status on retirement.
11.4 Emeritus status, if granted, shall be at the rank held at retirement, and shall indicate the field of specialization (see emeritus listing in the current University Calendar for examples). Promotion to a higher rank shall not be considered on retirement. In exceptional cases the GPC and the President will consider a recommendation for a designation intended to confer special honour on the individual.
11.5 For academic appointees (Administrative and Professional), appropriate rank equivalent emeritus status may be awarded, e.g. Librarian Emeritus.
11.6 In special circumstances, an individual who has made a major contribution to the academic program of The ɫ but who does not meet all of the eligibility criteria set out in Section 11.1 may be recommended for emeritus status.
11.7 In January of each year the Provost and Vice-President (Academic) shall establish a list of individuals who meet the eligibility criteria set forth in Section 11.1, and shall seek advice from the appropriate Deans (or equivalent administrative officer) on whether the granting of emeritus status should be recommended to the President.
11.8 The process to be followed at the Faculty level shall be similar to that followed with regard to the promotion of an academic staff member from rank to rank; the Department Head (or equivalent) shall formulate a recommendation and transmit it to the Dean (or equivalent administrative officer), who shall seek the advice of the Faculty Promotions Committee before transmitting his/her recommendation to the Chair, General Promotions Committee.
11.9 The documentation provided to the GPC in support of each case shall consist of:
a) an up-to-date curriculum vitae, including a complete list of publications (or equivalent scholarly contributions),
b) supporting recommendations from the Department Head and the Dean (or equivalent administrative officer), together with advice received from the Faculty Promotions Committee.
11.10 In a case where the Dean (or equivalent administrative officer) does not recommend the granting of emeritus status to an individual who meets the eligibility criteria, the Dean (or equivalent administrative officer) shall advise the Chair, GPC of the reasons in writing. All of the documentation assembled for the FPC, as set forth in Section 11.9, shall also be transmitted to the GPC, for an automatic complete review of the case.
11.11 In the interests of University-wide equity, the GPC shall review individually each case which meets the eligibility criteria, and transmit its recommendations to the President, normally when the results of the annual Spring meeting to review increment / promotion recommendations are submitted.
11.12 All retired staff are eligible for certain benefits and privileges as established from time to time by the Board of Governors. The following additional privileges will be provided to individuals holding emeritus status:
a) listing in the University Calendar;
b) names retained on all appropriate departmental, Faculty and University mailing lists (e.g. for receipt of newsletters, announcements, information on lectures, seminars, social functions, etc.);
c) business cards indicating emeritus status and title;
d) accorded the status of regular full-time continuing academic staff with respect to Library services
11.13 In cases where specific post-retirement agreements are entered into between the University and an individual holding emeritus status for services to be rendered in the University's teaching, research and/or service programs (with or without remuneration) on a 'limited term' basis, the individual shall have the privilege of using the emeritus designation and title.
11.14 On the advice of the Dean, the President may authorize specific individuals holding emeritus status to be granted access to University resources and services for specified purposes and periods of time.

Important Information for Retiree Permit Holders
- Your current parking permitexpires December 31 each year.
Currently there isno feefor this permit –do notsubmit payment.
- Parking Permitsmust be correctly displayedat all times while parking and are consideredVOID if they are not visible.
- If you forget your parking permit or access card you will have to pay to park – no exceptions.
- Permits areVALID INpay lots 10, 11, 32, and the OVC guest lot at any time. If there is an attendant in the booth when you enter the lot,you must stop and show your permit.
- Retiree Parking Permitsalso permit you to park in theArt Parkadein addition to the above lots. If you wish to take advantage of this privilege you arerequired to have an access card. Your hanging permit is not valid in the Art Parkade. To be issued an access cardcome to Parking Serviceswith your UCID card, and your hanging parking permit.
- Additionally Retiree Permits areVALID INpermit lots 12, 13, 21, 25, 28, 31, 33, 34, MacEwan Hall Parkade and McMahon Stadium Monday - Friday from 15:00 – 23:59 and all day on weekends and statutory holidays.
- Retiree Parking Permits are never valid in/atany location where you pay in increments of time (hourly lots such as 1, 3, 3a, 5, 9, 16, 22, 23 or 30), meters, service zones, loading zones, fire lanes, passenger zones, or reserved stalls. Your permit is NOT valid in lots 2, 48, 49, or 51.
- This permitdoes notguarantee parking - all parking is subject to availability.
- UCID Retiree Campus ID Cardsare notaccepted as parking passes.
- Your parking permit is not transferable between peoplehowever it may be transferred between your personal vehicles with the prior approval of Parking Services.
- Permits are void and cannot be renewedif there are outstanding parking tickets on any vehicle under your account.
The parking permit remains the property of the ɫ and must be returned upon request.
