Activating Accommodations

Students registered with Student Accessibility Services (SAS) can activate accommodations on a per course basis. Every semester, students need to activate accommodations to notify instructors of classroom accommodations and to book accommodated exams.

How to Activate Accommodations

Please choose the description of your studies to see instructions on how to review and activate your accommodations. Most students registered with Student Accessibility Services (SAS) are in the first category listed but if you are not sure which applies to you, please contact the SAS Main Office for clarification.

Important: If you do not activate your accommodations by the deadline for the semester, you will not be able to . Our office will also assume that you do not require accommodations for the semester’s final exams.

  1. Log into the ClockWork Student Portal

    Use your IT Account username and password (the same as what you use to access, D2L, my.ucalgary.ca, and your UCalgary email).

    If you have not activated your IT Account yet, click here.

  2. Select "Accommodation Letters"

    Once you have logged in, you will see two options. Select the Accommodation Letters option.

  3. Follow the Prompts

    Follow the prompts. For instructions that go through these prompts, please see our in depth guide with pictures or the .

    Take a moment to review the accommodations listed. Contact the SAS Main Office if any accommodations seem to be incorrect or missing.

  4. Instructor Notification

    An automated email is sent every Monday to instructors with a list of students who have activated accommodations over the past week. Your instructor can also view your activated accommodations for their course through the ClockWork Instructor Portal at any time.

These instructions only apply to students taking high school upgrading or non-credit courses offered through Continuing Education. If you are not sure if this describes your situation, contact the SAS Main Office for clarification.

Important: If you take any courses at the Áù¾ÅÉ«Ìà that are not through Continuing Education, please let us know! The process to activate your accommodations and book exams will be different!

  1. Provide your course outlines to the SAS Exam Centre

    Send your course outlines for your Continuing Education classes to the SAS Exam Centre during the first two weeks of classes (or as soon as possible if you are new to SAS). Staff will use this information to activate your accommodations.

    If you would like a copy of your accommodation letter for your own records contact the SAS Main Office.

  2. Instructor Notification

    An automated email is sent every Monday to instructors with a list of students who have activated accommodations over the past week. Your instructor can also view your activated accommodations for their course through the ClockWork Instructor Portal at any time.

  3. Exams

    If you have on-campus exams, the SAS Exam Centre staff will use the course outline to book the exams you will be writing with them.

    For online exams, your instructor will be responsible for modifying any online quizzes, tests, and exams to reflect time based accommodations. If your instructor requires any technical assistance related to modifying the evaluation they can contact the SAS Exam Centre.

These instructions do not apply if you would typically be taking courses at a campus in Calgary but are taking a few online courses. These instructions only apply if the majority of the courses in your program are online or at a campus outside of Calgary. If you are not sure which applies to you, please contact the SAS Main Office for clarification.

  4. Check the PDF Letter

    Once you've activated your accommodations, select the "get letter button" to see a PDF version of the letter.Check to make sure that the instructor indicated on your letter matches your course instructor.

    If the names in the previous step do not match, you will need to email the PDF copy of your letter to your instructor.Ìý

    If the names in the previous step do match, your instructor will be notified that you have activated your accommodations via an automated that is sent every Monday morning. Your instructor can also view your activated accommodations for their course through the ClockWork Instructor Portal at any time.

DO NOT activate or request Accommodation Letters through Clockwork. If you would like a copy of your accommodation letter for your own records, or if you would like to book an appointment with your Access Advisor contact the SAS Main Office.

Your Faculty Administration will be in contact with you about exam scheduling. Contact them or the SAS Exam Centre if you have any questions about exams.

If you are in a Joint JD Program (JD/MBA, JD/MPP, IELP), you will need to activate your accommodations in courses outside the Faculty of Law. To do this, please follow the instructions under "A Áù¾ÅÉ«Ìà Student Taking Academic Courses in Calgary" and remember to de-select your law courses.
