Accidents and Violations

If You're Involved in an Accident

If you are involved in an accident while operating a university owned vehicle or a non-owned (rental) vehicle driven for university business,Ìýreport to Campus Security at 403.220.5333 as soon as possible.ÌýYou are also required to complete anÌýOARS Report.

Alberta provincial law stipulates thatÌýaccidents resulting in injury, death, or damages exceeding $5,000Ìýmust be reported to the police immediately.ÌýThe $5,000 figure is the combined damage total to all vehicles, property, etc.ÌýHit and run incidents must also be reported to police in order for the insurance company to process the claim. ÌýRisk Management and Insurance will handle any claims that arise as a result of vehicle accidents where the driver was operating a university-owned vehicle or a non-owned (rental) vehicle driven for university business.

Motor vehicle accident forms that are useful for immediately noting some of the important information are kept in the glove compartments of university-ownedÌývehicles to facilitate the collection of information.Ìý

Accidents in UCalgary Owned Vehicles

Complete the Áù¾ÅÉ«Ìà Vehicle Accident Form.Ìý A copy of this form should be on a green sheet in the glove box of the vehicle.Ìý This includes taking pictures of each of the vehicles involved and of any damage sustained. Exchange insurance information with any other drivers involved in the accident.

ContactÌýpolice to file a police report. InÌýAlberta, any accidents resulting in injury, death, or damages exceeding $5,000 total between all vehiclesÌýmust to be reported to the police immediately. ÌýHit and run incidents must also be reported to police.

Complete an Incident Report with Campus Security as soon as possible (phone 403.220.5333).Ìý Please send them a copy of your completed Vehicle Accident Form as well.Ìý The Incident Report will be forwarded to Risk Management & Insurance to open a claim.ÌýIf there is a serious accident or injury,Ìýcall Campus Security immediately.

If the driver or any other occupants were in the vehicle at the time of the accident, the driver is required to complete an OARS report.

If the vehicle isÌýsafeÌýto drive, proceed to the fleet operations garage located at the Physical Plant. If the vehicle isÌýunsafeÌýto drive,Ìýcontact Motor Pool at 403.220.5601 to arrange for towing.

If any UCalgary student, employee, or volunteer was injured during the accident and required medical treatment or lost time beyond the day of the accident,ÌýWCB reportsÌýmust be completed.

When Risk Management andÌýInsurance receives the incident report from Campus Security, they may contact you for further details in order to process the claim.Ìý If you have any questions, please email riskmgmt@ucalgary.ca.

Accidents in Rental Vehicles

In addition to steps 1 - 7 on the left (except for step 5), include steps 8 and 9 below if you were involved in an accident in a rental vehicle while on UCalgary business.Ìý When you contact the rental agency, they will determine where the vehicle is to be taken.

Contact the rental agency and complete any required reports. Keep a photocopy of that document and send to Campus Security to include with their Incident Report.

If you are using the UCalgary Travel andÌýExpense (T&E) card, and you are driving:

  1. a car
  2. an SUV
  3. a small van that transports a maximum of 8 people, including the driver

you are required to contact the credit card insurer Manulife, within 48 hoursÌýat 1-833-389-1090, or through the portal at . For policy # send a request to finance@ucalgary.ca.

NOTE:Ìý If you are driving a truck or a van that transports more than 8 people, including the driver, contact riskmgmt@ucalgary.ca as the T&E card insurance will not apply in this situation. The coverage will be from the UCalgary rental vehicle insurance policy instead and a deductible will apply.

  • Collision - $2500, except ATV's and the solar car
  • Comprehensive (fire, theft, vandalism, hail) - Variable

Traffic and Parking Violations

Drivers of university-owned or rented vehicles are personally responsible for all traffic and parking violations incurred while a university owned or rented vehicle is in their custody.ÌýThe university will not assume responsibility or reimburse drivers for violations, fines, or penalties.
